Terms & Conditions

1. DEPOSIT AND BOOKING

  • A non-refundable deposit of 50% of the total agreed fee is required to confirm and secure the booking for videography services.

  • The deposit must be paid within 7 days of receiving the invoice to guarantee the booking. Dates are not reserved until the deposit is received.

  • By paying the deposit, the client acknowledges and agrees to these terms and conditions.

2. FINAL PAYMENT

  • The remaining 50% balance must be paid by bank transfer no later than 7 days before the scheduled filming date.

  • Alternatively, the final payment can be made in cash on the day of the shoot before filming begins.

  • If full payment is not received by the due date, the videographer reserves the right to suspend or cancel services.

3. CANCELLATIONS

  • In the event of a cancellation by the client, the 50% deposit is non-refundable.

  • If the cancellation is made less than 14 days before the scheduled shoot, 75% of the total fee will be payable by the client.

  • Cancellations made within 7 days of the filming date will result in the full fee being payable.

4. RESCHEDULING

  • If the client needs to reschedule, the videographer will make reasonable efforts to accommodate the new date, subject to availability.

  • Rescheduling made within 7 days of the filming date may result in additional fees.

  • If the videographer is not available on the new date, the deposit will be forfeited.

5. SCOPE OF WORK

  • The agreed scope of work (e.g., locations, hours, deliverables) must be confirmed in writing before filming begins.

  • Any changes to the scope after confirmation (e.g., additional filming locations or extended hours) may be subject to additional fees and must be agreed upon in writing.

6. FILMING DAY

  • The videographer will arrive at the agreed location(s) on time and provide the videography services as outlined during the pre-production process.

  • The client is responsible for providing any necessary access, permissions, and logistical support required for the filming.

  • The videographer cannot be held responsible for missed moments or footage due to unforeseen circumstances such as delays caused by the client, restrictions imposed by the venue, or weather conditions.

7. CLIENT RESPONSIBILITIES

  • The client is responsible for securing permissions for filming at the location(s) and ensuring all necessary permits and approvals are in place, including consent from any individuals appearing in the video.

  • The client agrees to provide any relevant schedules, itineraries, or contact information that will assist in ensuring the smooth operation of the filming.

  • Any unexpected delays or changes to the schedule on the day of the shoot may incur additional costs.

8. DELIVERY OF FINAL PRODUCT

  • The videographer will deliver the final edited video(s) within the agreed timeframe, usually between 2-3 weeks after the shoot.

  • The video(s) will be delivered in a digital format via a download link or file-sharing platform. Requests for additional formats, physical copies, or alternative delivery methods may incur extra charges.

  • Any changes requested may incur additional editing fees.

9. TRAVEL AND EXPENSES

  • For shoots taking place outside of the videographer’s local area, additional travel costs (mileage, accommodation, etc.) may apply. These must be agreed upon prior to booking.

  • Any additional expenses, such as venue permits or special equipment, must be agreed upon in advance and will be billed to the client.

10. COPYRIGHT AND USAGE

  • The videographer retains full copyright of all footage captured. The client is granted a non-exclusive license to use the final edited video(s) for the agreed purposes (e.g., marketing, promotional material, internal use).

  • The videographer reserves the right to use portions of the footage for promotional purposes, such as on their website or social media, unless otherwise agreed in writing.

11. CHANGES TO THE FINAL PRODUCT

  • If the client requests significant changes to the final product (e.g., adding new footage or extensive re-editing), these will be treated as a new project and will incur additional charges.

  • Any change requests must be made within 7 days of receiving the final product. Requests made after this period may be subject to additional fees.

12. LIMITATION OF LIABILITY

  • In the event of unforeseen circumstances such as equipment failure, illness, or other incidents preventing the videographer from completing the project, the videographer’s liability is limited to a refund of any payments made.

  • The videographer is not liable for any indirect or consequential losses (e.g., loss of business or profits) that may arise as a result of failure to deliver the agreed services.

13. FORCE MAJEURE

  • Neither party shall be held responsible for delays or cancellations due to events outside of their control, such as natural disasters, strikes, public health emergencies, or other events deemed force majeure.

  • In such circumstances, both parties will make reasonable efforts to reschedule the shoot, but if this is not possible, the videographer will refund any payments made, minus any expenses already incurred.

14. CONFIDENTIALITY

  • The videographer agrees to treat any sensitive or proprietary information shared by the client during the project as confidential and will not disclose or use such information for any purpose other than the agreed project.

15. IN SUMMATION

  • By paying the deposit and securing the booking, the client agrees to these terms and conditions.
